Belgravia Book

Terms of Service

Last updated: October 30, 2026

These terms apply to belgraviabook.com and the booking pages, text messages and AI receptionist that Ethan and Zachary Marketing LLC, doing business as Belgravia Book ("Belgravia Book", "we"), provides to service businesses ("Businesses") and their customers ("Customers"). Businesses accept these terms when they sign up. Customers who book through a Business's page only need sections 3, 4 and 5.

1. What Belgravia Book does

Belgravia Book is software that lets Businesses take bookings, answer calls, texts and chats with an AI receptionist, send reminders and updates, collect payments through their own payment account, and keep records. Each Business is responsible for the services it sells, its prices and policies, and its relationship with its Customers. Belgravia Book is not a party to the sale between a Business and its Customer.

2. Accounts, free trials and plans (for Businesses)

3. Customer payments

Card payments to a Business go to that Business's own Stripe account ("Belgravia Pay, powered by Stripe"). Belgravia Book does not store full card numbers. Refunds, cancellation fees, card holds and disputes are between the Customer and the Business, under the Business's policies, which the Business must show Customers before they book.

4. The AI receptionist

The AI receptionist is an automated assistant, not a person, and says so. It answers using information the Business provides and can make mistakes. Where a Business lets it take orders or bookings without the Business's review, the Business accepts the separate acknowledgment shown in its dashboard before that is turned on, and that acknowledgment is part of these terms. Prices, times and bookings are only confirmed by the booking confirmation the Customer receives. Calls are transcribed (turned into text) and chats and texts are saved, so the Business can see what was said and so the service works; our service providers for speech, AI and phone service process them for us. Don't use the AI receptionist or texts for emergencies: call 911.

5. Text messaging terms

Program: Businesses using Belgravia Book send text messages to Customers about their bookings (confirmations, reminders, schedule changes, receipts and replies to questions), and, only to Customers who separately agreed, occasional offers and specials.

How you agree: by checking the box when you book online, by giving your mobile number to the Business for that purpose, or by texting or calling the Business first. Agreeing to marketing texts is never required to book.

Frequency: varies with your bookings (usually 2–6 messages per booking). Offers: about 1–2 per month.

Cost: Message and data rates may apply.

Stop: reply STOP to any message to stop receiving texts. You'll get one confirmation and no further texts. Reply START to opt back in.

Help: reply HELP, or contact the Business directly, or email support@belgraviabook.com.

Carriers are not liable for delayed or undelivered messages. See our Privacy Policy.

6. Businesses' responsibilities

7. Records, bookkeeping and team pay

Belgravia Book keeps records you can use to run your business: bookings, payments, tips, expenses, team pay and reports. These are prepared from the information you and your team enter or import. They are not reviewed by an accountant, and they are not tax, accounting, legal or payroll advice. Categories that mention tax forms (such as Schedule C) are suggestions to help your tax preparer, and may not apply to your business type. Have a qualified professional review your numbers before you file taxes or rely on them.

Team pay in Belgravia Book shows what each person earned and what you recorded as paid. Belgravia Book does not run payroll, pay anyone, withhold or file taxes, or decide whether a worker is an employee or contractor. Belgravia Book does not collect or file sales tax for your services unless a screen clearly says it does.

7a. Suggested sales tax rates

For businesses in Texas, Belgravia Book can suggest a sales tax rate from the Texas Comptroller's public rate list and a map lookup of an address. A suggested rate is only an estimate. It is not tax advice, and it may be wrong (for example because of special districts, city limits, which address Texas uses for your sales or rentals, or rate changes). Belgravia Book never starts charging a suggested rate until the Business signs off on it as an estimate or enters a rate its own tax professional checked, and it never changes a rate by itself when the Comptroller's list changes. The Business alone is responsible for the sales tax rates it charges, collects, reports and pays. By using a suggested or checked rate, the Business releases Belgravia Book from any claim, tax, penalty, interest or loss that comes from that rate, including claims that come from Belgravia Book's own negligence, to the fullest extent the law allows. We keep a record of each sign-off.

8. Moving from another system

Belgravia Book gives you tools (and our help) to copy customers, bookings and other records from your previous system, and a side-by-side mode so both can run while you check. You choose what to bring over, review the preview before anything is saved, and are responsible for checking the results against your old system before you go live, including upcoming bookings, prices, gift card balances, memberships and texting consent. Most imports can be undone until the records are used (for example a visit is worked on or paid). You can switch back to your old system at any time, and download all your data first.

Migration at no upfront charge, with a 12-month minimum. When we move your data in from another system, we don't charge for it upfront. In return, before the move starts (or, if our team moved it for you, when you first log in or join), you accept these terms with a tick box: if you cancel your plan within 12 months of accepting, a migration fee of $299, minus $25 for each full month since you accepted, is charged to your card on file when your plan ends. There is no fee if you cancel during your free trial, if we end your service, or if we waive it. The fee that applies is shown before you confirm a cancellation, and undoing the cancellation before your plan ends removes it. This fee is a reasonable estimate of the cost of the free migration, not a penalty, and it never limits your free download of Your Data.

9. Your data

Businesses own their data: their customers, bookings and orders, payments records, inventory, team records, and the content they add, such as their logo, photos, descriptions, prices and their own agreements or forms ("Your Data"). You can download a copy of Your Data at any time, free of charge (Settings > Plan & billing > Download all my data), including after you cancel, for at least 90 days. The download includes your records as spreadsheets, the photos and documents you uploaded, your website's text and settings, and the records of who signed your agreements and the exact wording they signed. You can also ask us to delete Your Data sooner, except records the law requires us to keep. Intake form answers hold health details, so they are opened one at a time in Belgravia Book, or sent securely by support on request. We act as your service provider: we use your data to provide Belgravia Book to you and to improve it for all Businesses, including teaching the AI receptionist general lessons (never personal details) and making combined, de-identified statistics, as described in the Privacy Policy, and you are responsible for having the right to give it to us.

Health information. Intake forms can hold health details (for example injuries or pregnancy). Belgravia Book protects them (encrypted, visible only to people with a login to your business, and every view is recorded), but it is not designed for HIPAA-covered healthcare providers and we don't sign Business Associate Agreements. If your business is covered by HIPAA, don't store protected health information in Belgravia Book. The ready-made form templates are sample wording, not legal advice: have your lawyer review any waiver or consent form before you use it.

Support access. To help a Business and fix problems, authorized Belgravia Book support staff may view a Business's account as one of its logins sees it. Support access is limited to our support team, lasts a short time, is recorded, and cannot be used to change a login's password, email, plan, billing or payment connection.

10. Who owns Belgravia Book

11. When an account ends

12. No warranty, and limits on liability

We work hard to keep Belgravia Book running and accurate, but the service, including the AI receptionist, help answers, reports and imports, is provided "as is" and "as available", without warranties of any kind, including merchantability, fitness for a particular purpose, accuracy, and uninterrupted or error-free service. It depends on other companies (such as Stripe, phone carriers, email, AI and hosting providers) whose outages we don't control.

TO THE EXTENT THE LAW ALLOWS, OUR TOTAL LIABILITY FOR ANY CLAIM IS LIMITED TO THE FEES THE BUSINESS PAID US IN THE 3 MONTHS BEFORE THE CLAIM, AND WE ARE NOT LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL OR CONSEQUENTIAL LOSSES, SUCH AS LOST PROFITS, LOST BOOKINGS OR LOST DATA. Fees you owe us, and your obligations under the indemnity below, are not limited by this paragraph.

Indemnity. Each Business agrees to defend and hold harmless Belgravia Book from claims by its Customers, team or others that come from the Business's services, prices, policies, texts and emails it sends or causes to be sent, data it imports, or its breach of these terms or the law.

13. Law and disputes

These terms are governed by the laws of the State of Texas, without regard to conflict-of-law rules. Before filing any claim, please email us so we can try to resolve it within 30 days. Any dispute that isn't resolved will be decided in the state or federal courts located in Fort Bend County, Texas, and both sides agree to that location.

14. Changes

We may update these terms. We'll post the new date here and email Businesses at least 30 days before important changes take effect, and we may ask you to accept them in your dashboard. If you don't agree, you can cancel before they take effect and we'll refund any fees you prepaid for time after that. Continuing to use the service after they take effect means you accept them. Changes don't apply to disputes that started before the change.
